Privacy policy

Version 1.1 Effective Operator: Texanlink LLC

The short version. This website doesn’t collect anything about you — no cookies, no analytics, no forms. The Aledgerly app holds only what Texanlink needs to run its books and work with its clients and contractors. We never sell personal information or use it for advertising.

1. Who we are

Aledgerly is an in-house bookkeeping and tax-estimate tool operated by Texanlink LLC, a Texas limited liability company (“Texanlink”, “we”, “us”). It isn’t offered to the public. This policy covers the website at aledgerly.com and the Aledgerly app at app.aledgerly.com. Questions: texanlinkllc@gmail.com.

2. This website

  • No cookies, no analytics, no trackers, no forms. The site sets no cookies and stores nothing in your browser. It loads no third-party scripts, fonts or images.
  • Delivery. The site is delivered by Amazon Web Services (Amazon CloudFront). Like any web server, it necessarily receives your IP address and basic request details to send you the page. We have not turned on access logging for this site, so we don’t keep a record of visits; Amazon may process request data briefly to deliver the site and protect it from abuse.
  • Email links. If you email us, we receive what you send and use it only to reply and to keep a record of the request.

3. The Aledgerly app — what we collect and why

The app is used by Texanlink’s owner and by contractors Texanlink invites. It holds:

Contractors Name, contact details, tax forms (W-9 or W-8BEN) and taxpayer identification number, the work and hours you record, invoices you draft, what you’ve earned and been paid, and the notices you accept. To run the working relationship: pay you correctly, keep records the law requires, and send you your 1099 form where required.
Clients Name, email, phone, billing address and state, invoices, and payment records (amounts, dates and the payment provider’s reference — never full card numbers). To invoice, record payments, charge the right sales tax, and keep the books.
Everyone who signs in Email address, sign-in and security records (including the date and time of sign-ins and important actions), and your authenticator setup. To keep accounts secure and to keep a tamper-evident record of changes.
Everyone who uses the app A log of each request to the app: your IP address, the time, which part of the app was used, and whether it worked. It never holds the information you entered. To spot misuse and attacks, and to fix problems.
Receipts sent in Receipt emails and attachments sent to the business, including the sender’s address. To record business expenses.

Taxpayer identification numbers are encrypted, shown only as the last four digits, and every time one is revealed it is recorded. We don’t collect household Social Security numbers or dates of birth, and we never see or store full payment-card numbers.

Where it comes from. From you, from Texanlink’s records, and — for payments — from the payment and banking services Texanlink uses.

Legal basis. We use this information to perform our contracts with clients and contractors, to meet tax and record-keeping obligations, and for our legitimate interest in running and securing the business.

4. Who we share it with

We never sell personal information, and we never share it for advertising. We share it only:

  • With service providers that run the app for us, under their terms and only for that purpose: Amazon Web Services (hosting, database, file storage, sign-in and email), and the payment and banking services Texanlink uses — for example Square and Wise — which send us records of payments.
  • With government agencies when the law requires, for example filing 1099 forms with the IRS, or answering a valid legal order.
  • With our professional advisers, such as a tax preparer or attorney, under a duty of confidentiality.
  • If the business changes hands, with a successor, who must protect it as this policy describes.

5. How long we keep it

Tax and business records are kept as long as tax law requires — generally up to seven years after the last tax year they relate to. Then they can be deleted or anonymized. The app’s request logs are deleted after one year. Email correspondence is kept for as long as it’s needed to handle the request.

6. Your choices and rights

  • See a copy of the information we hold about you, and have it corrected.
  • Ask us to delete it. We will, once no open work, unpaid balance, tax reporting duty or record-keeping period requires us to keep it — and we’ll tell you in plain words if something still does, and until when.
  • Electronic 1099s are optional; you can withdraw consent and get paper instead.

To ask, email texanlinkllc@gmail.com from the address we have on file. We may need to confirm it’s you. We’ll reply within 45 days, and we won’t treat you differently for asking. If the law where you live gives you additional rights, we’ll honor them.

7. How we protect it

Required authenticator codes for every account, a fresh code for high-risk actions, encryption at rest and in transit, encrypted and masked tax ID numbers, append-only records with a tamper-evident activity log, and write-once exports. See Security for the details. No system is perfectly secure; if a breach affects your information, we’ll notify you as the law requires — in Texas, within 60 days.

8. Where your information is stored

In the United States (AWS, us-east-1). If you work with Texanlink from another country — for example Australia — your information is transferred to and stored in the United States.

9. Do Not Track and Global Privacy Control

Neither this website nor the app tracks you across other sites, sells personal information, or shares it for targeted advertising, so there is nothing for a Do Not Track or Global Privacy Control signal to switch off. We honor them by default.

10. Children

This website isn’t directed to children under 13, and the app is only for adults working with Texanlink. We don’t knowingly collect information from children.

11. Emails the app sends

The app sends only transactional email — invoices, payment reminders, sign-in invitations and similar messages about work already under way. It sends no marketing email.

12. Changes to this policy

We’ll post any change here with a new version number and effective date. If a change materially affects how we use information about contractors, we’ll also tell them in the app.
